What is a cloud electronic signature and how to use it?

A cloud electronic signature uses an online infrastructure to store the digital certificate and cryptographic keys. It does not require dedicated USB hardware devices.

How to use it

  1. Access the digital signing platform via a web browser or a locally installed application.
  2. Select the document that needs signing.
  3. Proceed to authentication on the cloud based electronic signature platform by using the credentials (for example, username and password).
  4. The signature is authorised through an OTP (one-time password) code or some other authentication method.

To log on to state-owned platforms (ANAF, SPV, e-Factura, etc.), you need to download the AlfaCloud application.

Benefits and disadvantages of a Cloud digital signature

Benefits

  • Accessibility: It can be used from anywhere, even on platforms like the NAFA platform, SPV, e-Factura, e-Transport, etc., as long as an internet connection is available, which makes it ideal for users on the move.
  • No need for hardware: Eliminates the need for carrying a physical token, thus reducing the risk of losing or damaging it.
  • Security: Offers the same security and functionality standards as the token certificate.
  • Quick issuing: Cloud certificates are digitally generated, which allows them to be issued on the same day when you file your request.

Considerations

  • Logging on to the NAFA platform, SPV, e-Invoice, grant platforms etc. is not possible when using the cloud certificate on MacOs.

When do we recommend using the cloud digital certificate?

The cloud digital certificate is the ideal solution for users who look for flexibility, accessibility, and convenience when signing documents digitally. It is also ideal for users who:
  • Own quick-growth businesses and need scalable solutions. The cloud-based digital signature can be easily extended for multiple users or integrated with other systems.

Work from various or remote locations.

  • Work from various or remote locations.

  • Collaborate on digital platforms, because integration of the cloud signature with platforms such as Google Drive, Microsoft Teams or other document management tools facilitates quick, efficient signing of documents.

  • Need to sign documents quickly and constantly, and not depend on physical devices such as the tokens, which can be lost or forgotten.

Alternative solutions

Another solution for the digital certificate is the token electronic signature, which requires using an external piece of hardware (USB) and installing a dedicated application. This solution is recommended when you prioritise physical control of your digital signature.
